Each funnel consists of stages — the steps a candidate moves through. HRStream automatically creates default system stages (New, Offer Sent, Offer Accepted, Started, Rejected), but you can add your own.

Stages can be reordered via drag & drop, activated, or deactivated. A deactivated stage won't appear on the board but remains saved in the funnel — you can re-enable it at any time. You can also set an SLA for each stage: the maximum time a candidate can sit at that stage without any action.

Step 3: Define Stage Transition Rules

By default, candidates can be moved to any stage freely. In practice, this creates chaos — a recruiter might accidentally skip a required step (for example, sending an offer without completing a technical interview).

Transition rules restrict which moves are allowed. Enable the "Restrict Transitions" toggle, and candidates can only be moved along the configured routes.

  • Forward transitions (solid line) — the candidate's main path forward through the funnel.
  • Backward transitions (dashed line) — returning to a previous stage when a step needs to be repeated.
  • Rejection — available from any stage by default (not shown on the graph to keep it clean).

Create transitions by dragging a connection point from one stage to another. Both horizontal and vertical graph layouts are supported.

Tip: start with a simple linear chain (each stage leads only to the next) — it's the most straightforward and controllable setup. Add backward transitions as your process requires.

Step 4: Working with Candidates on the Kanban Board

Once your funnel is configured, open a vacancy and you'll see a kanban board with a column for each stage. Candidates appear as cards that can be dragged between columns.

Kanban board features:

  • Drag & drop — drag candidate cards between columns. If transition restrictions are configured, only the allowed target stages are highlighted.
  • Context menu — click the card menu to quickly move a candidate, schedule an interview, or attach a file.

  • Counters — each column header shows the number of candidates at that stage.
